1. General Safety Notice
Tents are temporary structures and are not designed to withstand severe weather conditions. The Customer acknowledges that the use of tents involves inherent risks and agrees to follow all safety requirements outlined in this agreement.
2. Site Requirements & Customer Responsibility
The Customer is solely responsible for ensuring the installation site meets all requirements prior to delivery.
Surface Requirements
- Tents may be installed on grass surfaces only

The ground must be:
- Level
- Firm
- Free of debris, rocks, and obstructions
Prohibited Surfaces
- Sand
- Mud or saturated ground
- Gravel (unless approved)
- Asphalt or concrete (unless pre-approved with weights)
3. Site Clearance & Obstructions
The installation area must be completely clear of all overhead and surrounding obstructions, including but not limited to:
- Power lines
- Tree branches
- Buildings, fences, or structures
Failure to provide a safe and clear installation area may result in:
- Delayed setup
- Refusal of installation
- Additional charges
4. Site Measurement Responsibility
The Customer is responsible for:
- Measuring the installation area
- Ensuring adequate space for the tent size ordered
- Allowing additional clearance for staking and anchoring
Day Rentals is not responsible for improper site sizing.
5. Underground Utility Locate (Mandatory)
The Customer must ensure all underground utilities are properly located and marked prior to installation.
This includes:
- Gas lines
- Electrical lines
- Water lines
- Communication/fiber lines
Failure to complete a proper locate:
- Will result in cancellation of installation
- No refunds will be issued
The Customer assumes full liability for any damage caused due to unmarked utilities.
6. Staking & Anchoring
Tents are secured using:
- Ground stakes driven approximately 30–42 inches into the ground
Customer acknowledges:
- Stakes penetrate deep into the ground
- Proper anchoring is required for safety
If staking is not possible:
- Alternative anchoring (weights) may be required at additional cost
- Installation may be refused if safe anchoring cannot be achieved
7. Installation Weather Limits
For safety, tent installation will NOT proceed if:
- Wind speeds exceed 25 km/h (including gusts)
- Ground conditions are unsafe
Day Rentals reserves the right to:
- Delay installation
- Refuse installation
- Reschedule installation
Booking deposit is non-refundable, however Day Rentals may issue refunds or credits at its discretion in cases of safety-related cancellations.
8. Wind & Severe Weather Policy
Maximum Safe Use Conditions

Tents may only be used when wind speeds remain below:
- 50 km/h (including gusts)
Mandatory Evacuation
The tent must be immediately evacuated if:
- Wind speeds reach or exceed 50 km/h (including gusts)
- Conditions are worsening or deemed unsafe
9. Rain & Ground Conditions
Tents must not be used when ground conditions become unsafe.
Unsafe Conditions Include:
- Heavy rain causing soft or unstable ground
- Water pooling near tent anchors
- Ground loosening around stakes
- Spring thaw or saturated soil conditions
If ground stability is compromised:
- The tent must be evacuated immediately
- Continued use is prohibited
10. Lightning & Storm Policy
Tents do NOT provide protection from lightning.
The tent must be evacuated immediately if:
- Lightning is present or approaching
- Thunderstorms develop
- Severe weather warnings are issued
Use of the tent during lightning or storms is strictly prohibited.
11. Customer Duty During Rental
The Customer is responsible for:
- Monitoring weather conditions at all times
- Ensuring safe use of the tent
- Evacuating occupants when required
The tent must NOT be used as shelter during:
- High winds
- Lightning storms
- Severe weather conditions
12. Right to Refuse or Remove Equipment
Day Rentals reserves the right to:
- Refuse installation
- Delay installation
- Remove or dismantle the tent
If conditions are deemed unsafe at any time, including:
- Weather conditions
- Ground instability
- Unsafe site conditions
No refunds will be issued in these situations.
13. Damage & Liability
The Customer assumes full responsibility for:
- The tent and all equipment during the rental period

Any damage caused by:
- Weather
- Improper use
- Failure to follow safety guidelines
Damage will be:
- Deducted from the damage deposit
- Or invoiced if exceeding deposit amount
14. Prohibited Use
The Customer agrees NOT to:
- Move or adjust the tent after installation
- Attach items to the structure without approval
- Use open flames or heat sources near the tent
- Overload the tent structure
15. No Weather Guarantee & Refund Policy
Day Rentals does not guarantee weather conditions.
Booking Deposits
All booking deposits are non-refundable and secure your date and equipment.
Remaining Balance (Weather-Related Adjustments)
In the event of unsafe weather conditions (including high winds, heavy rain, or storms), Day Rentals may, at its sole discretion, offer:
- Rescheduling to a new available date
- Credit toward a future rental
- Partial refund of unused services (excluding booking deposit)
No Refund Situations
Refunds will NOT be issued for:
- Completed installations
- Customer-initiated cancellations due to weather
- Weather conditions that do not prevent safe installation
16. Final Authority Clause
Day Rentals reserves sole discretion to determine whether conditions are safe for:
- Installation
- Continued use
- Required evacuation
All decisions made by Day Rentals regarding safety are final.
17. Agreement
By booking and/or signing, the Customer acknowledges and agrees to all terms outlined above.
